The Airtable CRM Build
A multi-table system that replaced spreadsheets, group chats, and memory with one source of truth.
The Problem
The team was tracking leads, payments, and project status across spreadsheets, group chats, and memory. Lead handoffs broke. Installments got lost. There was no single place to see "where is this client right now."
Before
After
The Approach
Map the actual lifecycle of a client — from ad click to closed deal to post-sale. Identify every touchpoint that needs to be tracked. Design tables that mirror real workflows, not theoretical ones.
What I Built
A multi-table Airtable base with:
- Leads — every lead with source, stage, owner, last touch
- Installments — payment tracking linked to client records
- Batches — for grouping projects by intake period
- Licenses — recurring license/renewal tracking
- Awards — internal recognition table
- Live Sales Dashboard — interface page pulling from all tables, real-time
The Result
The whole team works from one source of truth. Lead handoffs are clean. The dashboard runs on autopilot for management visibility.
What I'd Do Differently
Earlier conversations with the team about naming conventions. Half the rebuild was renaming fields once the patterns became clear.
